In May 2009, a self completion questionnaire was sent via e mail to internal departments within West Dunbartonshire Council who use the Grounds Maintenance Service.
The objective of the consultation was to establish the opinion of internal users of the services provided by the Grounds Maintenance service during the financial year, 1st April 2008 to 31st March 2009.
22 People returned the questionnaire. Not all internal departments were able to confirm how many people the questionnaire was forwarded to therefore a response rate is unable to be calculated for 2009 results.
Key findings/Recommendations
The objective of the consultation was to find out the internal users perception of the service currently provided by Grounds Maintenance Section in terms of:
- The standard of grounds maintenance
- The awareness of the Annual Maintenance Schedule for their property
- Satisfaction levels with the frequency of grass cutting
- How courteous the Grounds Maintenance Service staff are
- An overall rating for the service provided by the Grounds Maintenance Service
The Grounds Maintenance section issue a maintenance schedule for each property they maintain. The results from this consultation exercise indicate that contract information such as maintenance schedules is not being cascaded to frontline staff. Results also indicated that frontline staff are unaware of work schedules.
Additionally the survey identified concerns with a drop in service standards and a decline in communication between the client and contractor.
Response to Findings/Recommendations
The findings from this survey will form part of an ongoing improvement programme and the survey will be carried out every two years.
